Roles and who can see what
Invite people by email from Settings → Team. Everyone gets their own login and their own audit trail — sharing one account makes your books harder to defend.
You. One per business. Everything below, plus managing the team and owning the account.
A partner or manager. Everything the owner can do day to day, including inviting people and connecting Square.
Your accountant. The full books surface — approve receipts, categorize bank lines, post and reverse entries, close periods, run reports, build the export — with no control over the team.
For staff who buy supplies. They can scan and upload; they can't approve, post, or change anything in the ledger.
For a lender, an outside reviewer, or a spouse who just wants to look.
Inviting someone
Settings → Team → invite by email and pick a role. The invite is bound to that email address, so it can only be accepted by the person you sent it to. They show as Invited until they accept, then Active. Change a role at any time from the same list.
What everyone can do
Every role, including read-only, can use the Bookkeeper chat to ask questions about the books — it posts nothing, so it can't be used to route around a permission.
Removing someone
Revoking access is immediate, and the entries they created stay in the ledger with their name on them. History doesn't disappear when a person does.
